General Affairs Coordinator – Siloam Hospitals Balikpapan
Job Description
Tasks and Responsibilities :
• Monitor and manage the course of GA operational activities to ensure the process and results of activities are in accordance with the standards set by the Hospital
• Coordinate all GA operational activities including administrative supervision, employee personnel, as well as quality and safety improvement programs, in accordance with operational policies and procedures that have been established by management to ensure the smooth and continuity of G unit services
• Monitor the procurement, addition, repair and maintenance of tools, goods and other inventory used to meet the operational needs of the GA unit
• Ensure the availability of all permits related to hospital buildings, medical and non-medical equipment; and is still valid and meets the legal provisions and requirements of the government/relevant agencies
• Handling complaints and needs of hospital workers and tenants in relation to General Affairs unit services
• Carrying out intermediary functions between hospital management and tenants and third parties, and other tenants to assist with the operational needs of tenants/third parties and ensure the implementation of Hospital policies
• Monitor the process and evaluation activities of vendors and third parties who collaborate with GA to maintain the quality of workers, products and services provided
• Provide guidance and carry out personal and professional development, including orientation regarding safety procedures and practices, as well as conducting evaluations to ensure worker competency in accordance with applicable provisions, laws and regulations as well as hospital needs
• Implement and supervise procedures and practices for quality and safety services, including attending training, collecting data, documenting and/or making reports needed to support the achievement of hospital wide indicators and related department/unit targets
• Monitor the completeness of operational activity report data and quality and safety programs to be used as analysis material by superiors or other related parties
Requirements :
• Bachelor Degree from Business Administration, Healthcare Administration, Facility Management, or any related major
• Business Administration, Healthcare Administration, Facility Management, or any related major
• Strong ability to manage multiple tasks, coordinate activities, and maintain an organized administrative environment.
• Knowledge of facility management practices, including maintenance, safety, and space utilization.
• Have minimum 3 years work experience in the GA field, preferably those who have worked in a hospital
• Have minimum 2 years experience leading a work team of 50 people
