Job Description
Tasks and Responsibilities :
• Manage the General Manager’s daily calendar, appointments, and meeting arrangements to ensure efficient scheduling.
• Prepare meeting materials, key talking points, and documentation needed for internal and external engagements.
• Coordinate travel arrangements, accommodation, and hospitality for the General Manager and visiting guests.
• Handle correspondence, draft letters/memos, and liaise with internal and external stakeholders.
• Monitor and manage administrative tasks such as budgeting, purchase requests, and reimbursements.
• Support document reviews, including proposals and reports, before submission to the General Manager.
• Maintain organized records of meeting minutes and ensure timely follow-ups on key actions.
Requirements:
• Bachelor’s degree in a related field (like Business Administration, Office Management, or Hospitality Management) is often preferred or required.
• Minimum 3 years of experience as an Executive Secretary.
• Excellent written and verbal communication skills are essential for interacting with guests, staff, and senior management.
• Working experience in 4-5 stars hotel operation is highly regarded.
• Strong English language skills are often required, and additional languages can be an asset.
• Accuracy and meticulousness are crucial in maintaining records and handling sensitive information.
