Administrative Assistant
Job Description
Tasks and Responsibilities :
• Provide comprehensive administrative support to the Head of Wellness Science, including managing correspondence, answering phone calls, and responding to emails.
• Schedule, coordinate, and manage member’s assessments in order to create their Personalized Wellness Plans (PWPs).
• Schedule, coordinate, and manage appointments, meetings, and events, ensuring seamless organization and time management for the Head of Wellness Science.
• Create, organize, and maintain digital and physical files, ensuring accurate documentation and easy accessibility.
• Input and update data in spreadsheets, databases, and other systems with precision and attention to detail.
• Monitor and maintain office supplies, liaising with vendors to ensure timely procurement and inventory management.
• Prepare and process expense reports, reimbursements, and invoices, ensuring alignment with company policies.
• Conduct research, prepare detailed reports, and assist in creating PWPs and support ongoing wellness projects and initiatives.
• Serve as a key point of contact for visitors, clients, and team members, providing assistance and information as needed.
• Support ad hoc tasks and special projects to enhance the efficient operation of the office and wellness programs.
Requirements :
• Indonesian citizen.
• Exceptional written and verbal communication skills in English.
• Proven experience as an Administrative Assistant or in a similar role, preferably in a wellness, science, or research-focused environment.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace tools.
• Strong organizational and time-management skills with the ability to handle multiple priorities in a fast-paced setting.
• Attention to detail and accuracy in completing tasks.
• Professional demeanor with excellent interpersonal and problem-solving skills.
• A proactive attitude and ability to work independently while supporting team objectives.
