Job Description

The Staff Secretary provides high-level administrative support and assistance to the Executive Director and other assigned leadership staff. This role performs critical clerical, organizational, and communication tasks to ensure efficient executive and company operations.

Tasks and Responsibilities :

• Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.
• Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
• Arranges travel and accommodations for executives.
• Filing and registering any document or form on behalf of the company as an authorized representative.
• Maintaining and preserving secretarial records, statutory registers and books.
• Arranging a general or board meeting and preparing the minutes of the meeting.
• Tasks related to shares including transfer and transmission.
• Responsible for the Company’s orientation programs for the Board of Directors and/or Commissioners.
• Ensuring that shareholders and the general public are kept regularly informed about the Company’s actions, financial position and other material matters.
• Have the ability to handle export, import, and telemarketing tasks.

Requirements :

• D3 / S1 All majors (preferably from the Department of Secretary, English, or Office Administration)
• Must have at least 3 years of experience in a related field
• Having Personal Assistant experience is preferred
• Having experience in a manufacturing company or export-import is an added value
• Fluent in English (proficiency in Mandarin is a plus)
• Good communication, multitasking, confident, and critical thinking skills
• Able to handle Purchasing, Administration, and Office Operations
